Getting Started

Atela is a calm, collaborative task manager for iOS. It helps you organize tasks, plan your schedule, and collaborate with others — all with a beautiful, card-based interface. Your data is stored locally on your device first, with optional cloud sync when you create an account.

Tap the + button on the Lists tab. Choose a name, emoji, and mode for your list.

Use the composer at the bottom of any list. Type your item and tap the arrow or press return.

Sections organize items within a list. Open the list menu to create and manage sections. Type #section when adding items to place them directly.

Swipe left on any list card and tap the pin icon, or use the list menu. Pinned lists stay at the top of the Lists tab.

Open the list menu and select Archive. Archived lists are kept in Settings > Archived Lists. You can restore them anytime.

Yes. Shake your device or use Cmd+Z on iPad to undo your last action. Undo works everywhere — adding, editing, deleting, and more. Redo with Cmd+Shift+Z.

Free includes core task management with usage limits. Pro unlocks expanded limits, insights, increased storage, and AI-powered features like smart suggestions, note polishing, and comment summaries. Team adds shared analytics and enriched digests.

Quick Add

Type words like 'tomorrow', 'next friday', or 'jan 15' while adding an item. The date is parsed automatically and shown as a pill below the text field.

Type !high, !medium, or !low, or tap the ! button in the toolbar.

Type a number followed by a unit, like '2kg' or '3 bottles'. Works best in Shopping mode lists.

#section assigns to a section, @name assigns to a collaborator, ~tag adds a tag. Tap the toolbar buttons for guided entry.

Tap the microphone icon in the composer. Speak naturally — your words are transcribed into the item title. Press the arrow to add.

Items & Details

Open any item and scroll to the Subtasks section. Tap + to add sub-items. Subtasks track their own completion and contribute to the parent item's progress.

Open an item and tap Tags to create or select a tag. Use ~tagname in Quick Add to tag instantly. Manage tag colors and names in Settings > Tags.

Open an item and scroll to Attachments. Tap + to add a photo from camera or library. Tap attachments to preview them full-screen.

In Manual sort mode, long-press an item and drag it to a new position. You can drag items between sections too.

Open an item and tap the clock icon to set an estimated duration. Items with durations appear as proportional blocks in the Schedule day view. Drag the bottom edge to resize.

Long-press any item to enter multi-select mode, then tap additional items to add them to the selection. Use the action bar at the bottom to batch complete, reschedule, move, or delete.

Notes & Formatting

Open any item and tap the Notes tab. Notes are saved automatically and sync across devices. Use them for details, checklists, or anything you want to capture alongside a task.

The toolbar above the keyboard offers bold, italic, strikethrough, headings, bullet lists, numbered lists, code blocks, and links. Formatting uses Markdown — you can type it directly or use the buttons.

Tap the sparkle icon in the note toolbar. AI can shorten, expand, bulletize, formalize, or generally polish your text. The original is preserved — tap undo to revert.

Filters & Views

Pre-built filters on the Lists tab that show items across all your lists — like Due Today, Overdue, My Tasks, and more.

All incomplete items from your own lists, plus items assigned to you in shared lists.

Yes! Tap the + chip to create a saved filter, or use the AI chip to describe what you want to see in natural language.

Tap the filter icon in any list's top bar. Filter by assignee, due date, priority, tags, section, or completion status.

In a list's top bar, tap the sort icon. Choose Manual (drag to reorder), Time (by due date), or Priority (by importance).

Toggle to Board view in a list's top bar. Items are grouped into columns by priority, status, or assignee. Drag items between columns to update that field.

Schedule & Reminders

Items with due dates appear in your Schedule, grouped by day. Swipe between days or use the date strip at the top.

Yes. Use the tabs in the Schedule top bar. Month view shows a calendar overview. Upcoming shows items grouped as This Week, Next Week, Later, and No Date.

In the day view, long-press an item and drag it to a new time slot or to a different day on the date strip.

Open an item's detail sheet and tap the bell icon. Choose from preset times or set a custom reminder.

Open an item's reminders and choose Location. Search for a place, set a radius, and choose whether to trigger on arrival or departure.

Tap the repeat icon on any item with a due date, or type 'daily', 'weekly', or 'every monday' when adding. Completing a recurring item creates the next occurrence automatically.

The Schedule tab shows an Overdue section when items are past due. Tap it to review and batch-reschedule multiple items at once.

Insights & Activity

Completion stats, streaks, team contributions, remaining tasks trends, and average time to finish. Tap any stat to drill down into details.

Items unchanged for 30+ days. The Insights tab highlights them so you can decide whether to act on, reschedule, or archive them.

Your activity journal. As you complete tasks, add items, and organize lists, events appear here grouped by day.

Tap the filter icon to filter by event type, list, or person. Tap 'You' to see only your activity. Save custom filters with the + button for quick access.

Open any list's menu and select Insights to see completion charts, remaining tasks trends, and done vs added metrics specific to that list.

Items in paused or inactive sections. The Insights tab flags them so you can decide whether they're still relevant, move them, or archive them.

Collaboration

Tap the share icon on any list card. Invite people directly (they need an account) or create a guest link (no account required).

Editors can add, edit, and complete items. Viewers can only see the list. The list owner can change roles from the share sheet.

Open any item and scroll to Comments. Type @name to mention a collaborator. Comments sync in real time.

Tap the emoji icon below any comment to add a reaction. Multiple people can react. Tap your reaction again to remove it.

Tap Reply on any comment to start a threaded discussion. Threads keep conversations focused. The list owner or author can resolve a thread when the discussion is complete.

AI & Smart Features

Smart voice-to-task extraction, natural language filters, note polishing, comment thread summaries, subtask suggestions, and recurring task pattern detection. AI features require a Pro subscription.

When you add items by voice, AI can extract dates, priorities, tags, and other details from your spoken text — turning natural speech into structured tasks automatically.

On items with long comment threads, tap the summary card to see AI-generated key decisions and open questions. Summaries update as new comments are added.

Open a complex task and tap Suggest Subtasks. AI analyzes the task title and notes, then proposes a breakdown you can accept, edit, or dismiss.

Free users get a limited number of daily AI requests. Pro and Team tiers have higher limits. Your current usage is shown in Settings > AI Usage.

Modes & Customization

Modes customize which fields appear when adding items. Shopping mode shows quantity and unit. Tasks mode shows due dates and priority. Checklist mode keeps it simple.

Yes! Go to Settings > Modes. Create your own with exactly the fields you need — due dates, priority, assignee, quantity, subtasks, and more.

Open the list menu and select Mode. You can switch modes at any time without losing data.

Go to Settings > Section Presets to save a template of sections (e.g., To Do / In Progress / Done). Apply the same preset to multiple lists.

Go to Settings > Profile. Tap your avatar to change its color, or tap Accent Color to set a custom theme color. Your choices sync across devices.

Watch & Widgets

Yes. The Watch app shows your tasks due today, lets you check off items, and supports quick-add by voice. Data syncs automatically from your iPhone.

Four home screen widgets — Due Today (count), Up Next (upcoming tasks), List Preview (items from a specific list), and Saved Filter (items matching a filter). Plus a compact Lock Screen widget.

Long-press your home screen, tap the + button, and search for Atela. Choose a widget size and style, then tap Add Widget. Tap the widget to configure which list or filter it displays.

Integrations & Shortcuts

Say 'Hey Siri, add a task in Atela' to create items by voice. Siri can add tasks to specific lists, mark items complete, and more.

Yes. Open the Shortcuts app to find Atela actions — add tasks, create lists, and build automations that fit your workflow.

On iPad, press Cmd+? to see all shortcuts. Common ones: Cmd+N (new list), Cmd+Z (undo), Cmd+Shift+Z (redo).

Go to Settings > Integrations > Calendar Sync. Items with due dates appear as events in your local Apple Calendar — and any accounts your iPhone Calendar app already syncs (iCloud, Google, Exchange, etc.).

Go to Settings > Integrations > Email to Task. Enable a dedicated email address — send emails there and they become items in a list you choose.

Sync & Offline

Yes. All your data is stored locally. Changes sync automatically when you're back online.

No. Atela works fully offline without an account. All your data is stored locally on your device. Creating an account enables cloud sync, collaboration, and access across multiple devices — but it's entirely optional.

Changes sync in the background. The app uses a last-write-wins strategy with conflict detection for simultaneous edits.

The most recent change wins by default. If two people edit the same field at the same time, you'll see the latest version after sync.

You can sign in with Apple, Google, or email and password. We recommend Sign in with Apple for the strongest privacy.

Go to Settings > Account > Delete Account. This permanently removes your data from both our servers and your device. You can also clear local data only through Settings > Data & Privacy > Clear Local Data.

Troubleshooting

First, check that you're signed in (Settings > Account). Then verify you have an internet connection. Sync happens automatically — there's no manual trigger. If you're signed in and connected but sync still isn't working, try signing out and back in. If the issue persists, contact us at support@atela.app.

Check that notifications are enabled in both iOS Settings > Atela > Notifications and within the app at Settings > Notifications. Also check your per-list notification preferences — a list set to 'Muted' won't send any notifications. Make sure you're signed in, as push notifications require an account.

Try closing and reopening the app. If you have very large lists (hundreds of items), consider archiving completed items or splitting into smaller lists. If the issue continues, go to Settings > Data & Privacy > Clear Local Data (this only removes local data — your cloud data stays safe if you're signed in).

Atela supports undo for most actions — shake your device or use the undo toast that appears after deletions. If you've already dismissed the undo option, deleted items are soft-deleted and may be recoverable through sync. Contact us at support@atela.app if you need help recovering data.
